Steps to Effective Programming at Brandeis University Presented by: Stephanie Grimes Director of Student Activities Sarah Bordeleau Assistant Director of Student Activities Overview :  Overview Learn the basic steps of programming a great and successful program! Discover your campus resources! Find out who you can contact if you have any programming questions! What are you programming?:  What are you programming? Based on your program, your needs will vary Example: dance in Levin Ballroom v. movie screening in Schwartz. Each event has different needs. Can you think of some of the logistics of each? Who will show the movie? What money are you using to purchase dance decorations? Will you need a custodian? What are your staff needs at the dance? Where and when would you like your event? :  Where and when would you like your event? What time of the week do you want your event? Different days will get different crowd and provide different outcomes Weekday: break from homework, classes; will touch commuter population Weeknight: social atmosphere, larger groups of people Where would you like your event? Space is hard to find sometimes! reserve space far ahead of time to get the best spaces possible, we will decide what spaces today! Consult the MyBrandeis Calendar, Brandeis planner, CES How are you paying for your event?:  How are you paying for your event? There are many ways to get funding for your event Go to F-Board (Monday evenings, Student Union) How do you get money that was allocated to you? Fundraise Seek co-sponsorship from other clubs and organizations Also a good way to share resources, ideas, staffing, etc. Advertise, Advertise, Advertise!:  Advertise, Advertise, Advertise! Don’t leave advertising until the last minute, plan advertising along with the event/program. Be creative! What would get your attention? Use at least three forms of advertising Take advantage of free advertising (i.e. MyBrandeis Calendar) Beware! You may not post flyers on university signage, painted walls, trees, the ground, etc. Get your flyers/posters stamped for Usdan and Shapiro at the Shapiro Info Booth. Event Logistics:  Event Logistics Visualize and Vocalize your event Share your vision of your event with other members of your club Do you need tables and chairs? Contact conference and events to make arrangements Do you need Audio/Visual Equipment? Contact media services or Student Production Services Event Logistics :  Event Logistics Draw a diagram of the event Where will the tables go? Where will you set up your DJ? etc. Do a walk through of the day of the event Make a list of needs for the day of the event Do you have questions about your event? Contact the Department of Student Activities, x65065 or Conference and Events, x64300 Event Logistics:  Event Logistics Contracts Students are not permitted to sign contracts. Please bring your contract to the department of Student Activities for help. Student Activities Resources There are many forms and helpful tips in the Student Activities office One-Stop Meetings: Mondays at 3pm, room 315 Don’t forget hidden costs! Some events/programs require certain items that might cost extra! Custodians, public safety, audio/visual equipment, electrician Evaluation and Follow-up:  Evaluation and Follow-up How did your event go? Have you paid all your bills? Thank you notes go a long way!
