Differentiation Between A Task and A Project  A Manager, day-in and day-out handles either tasks or projects.  In a task, objectives are clear, the methodology is established, resources are well allocated, outputs are defined, and the timeline is fixed.  On the other hand, in a project while the objectives are clear and the timeline is fixed, the rest of the factors are rather fluid.

Differentiation Between A Task and A Project  Therefore, a project throws-up more and complex challenges to a Manager.  Handling these challenges, and surmounting them brings out the best in a Manager and differentiates ‘the good and the mediocre’.

Differentiation Between A Task and A Project  It is roughly estimated that the work of a Manager involves 80% of tasks and 20% of projects.  Whereas, in terms of timeline, a Manager spends 80% of his time handling projects and the rest in carrying out his tasks.  Thus, developing the required capacities in handling projects is vital for a manager to succeed.

Role of Material Management in PM  There are two critical areas that many Managers overlook, and they are often the root cause of project failure.  These two project management tools are:◦ Management of suppliers, and ◦ Control procurement.

Role of Material Management in PM  Management of Suppliers:◦ Always make sure you appoint suppliers through a formal process. ◦ Even if you are appointing suppliers you know and have worked with for sometime, always create a statement of work with your project management tools which defines the exact scope of work that you wish them to perform.

Role of Material Management in PM  Management of Suppliers:◦ Create a formal detailed supplier contract for the scope of work to be completed. ◦ In your contract, have milestones which specify what it is that you expect them to have delivered and by when.

Role of Material Management in PM  Control Procurement:◦ A PM has to monitor & control the procurement of goods and services from the suppliers. ◦ Controlling procurement is all about reviewing and accepting goods and services once they have been delivered by the supplier.

Role of Material Management in PM  Control Procurement:◦ Always make sure that you issue purchase orders for products you require from suppliers. ◦ Create a detailed description of the product you require on the purchase order, so that you have something to measure against when it arrives.

Success Rate of Projects In India  The following statistics highlight the success rate of project execution in the Indian context:◦ India has targeted to invest US Dollar 500 billion in infrastructure by the end of the 12th plan period. ◦ However, the country has consistently fallen short of meeting such targets. ◦ It is estimated that the average rate of awarding projects has been around 70% of the planned rate. ◦ Further, as per the government data it is estimated that a majority of projects, close to 60%, suffer from time and cost overruns.

Success Rate of Projects In India  Inefficiencies in implementing infrastructure projects in India occur at all stages. This includes:◦ Awarding projects as per plan targets ◦ Securing financial closure ◦ Executing projects with in cost and time.

Success Rate of Projects In India   If the current trend continues, it is estimated that India could suffer a GDP loss of US Dollar 200 billion, that is around 20% of its GDP. In addition, could lose up to US Dollar 160 billion as the industrial productivity gets impacted for lack of infrastructure.

Success Rate of Projects In India ◦ It is estimated that the losses that accrue at various stages are as below: Because of shortfall in awarding projects as per plan could result in net US Dollar 100 billion loss to the GDP.  Time and cost overruns in project execution could lead to another US Dollar 80 billion loss.  Capital constraints may account for a loss of US Dollar 20 billion.

Success Rate of Projects In India  India does not compare favorably with other countries in executing projects.  It is estimated that each project suffers from 20 to 25 percent time and cost over-runs.  While in some sectors this is as high as over 50 percent.  It is this scenario that makes Professional Project Managers critical in the Indian situation.

Developing Project Managers  Project Management is both an art and a craft.  Some indeed are gifted with the skills of handling projects. But, this advantage alone would not carry them too far in their careers. They too need to hone their skills and acquire newer tools and techniques of Project Management.
