11that make email communication better Email communication is great. It allows you to communicate with team members, friends and basically everyone out there. It is instant, effective and virtually for free. That is the theory. In reality it very often happens email becomes one of the top time wasters, it affects your productivity greatly and is responsible for your stress levels. We all have some email management related habits. Most of us begin the work day getting through the cluttered inbox trying to ﬁgure out who, what, when and all that. An average corporate worker spends up to 28% of a days work just answering emails and managing inbox. And that is I must say hardly productive work. RULE 1schedule your email time Turn off the notiﬁcations and make sure to stop checking mailbox all the time. Schedule your email time precisely and stick to it. Do not be slave to the inbox.
RULE 2Don’t reply to everything Some people are just plain lazy. Instead of researching or thinking for themselves, they bother you with questions. Teach them the hard way. Also avoid replying ‘Thanks’, ‘Got it’ or ‘Let me get back to you on that’ to every email.
RULE 3Keep it short and simple Try to limit your emails to 5 sentences. Everything more elaborate requires a phone call. Make sure to structure your email well. Use formatting options and buletts to communicate your point.
RULE 4Think of WHY, HOW & WHAT Very often people start with WHAT instead of WHY. Start with WHY to actually realise what are the reasons behind sending this message. Do you want to convince, inform, inspire or get something done.
RULE 5Keep emotions out of it Angry with someone? Do not email them right away! Emotions never prompt good advise. Instead of resolving the conﬂict or misunderstanding, you’ll escalate one. Keep it cool and write only once you rationalise things.
RULE 6Don’t email everything Believe me – there are other ways to communicate or discuss things. For less formal, quick communication, try social media messengers. For more elaborate discussions, use phone or skype.
RULE 7Only CC with a reason CC and BCC is great but it tends to be used to often. If you CC someone, make sure to state clearly in the email, why they are the recipients of this particular email. Otherwise they will get back to you with questions.
RULE 8Don’t email documents Instead of sending attachments and treating inbox as a main resource storage, use dropbox, Google Drive or any other way of sharing documents. For documents like presentations, spreadsheets or really any other ﬁle that needs to be collaborated on, email really isn’t the right medium.
RULE 9Listen to the others Everyone has some preferences when it comes to emails. Some people like them short, some like them more elaborate. Just like with every communication, you need to establish the code – this way you’ll be able to communicate better.
RULE 10Teach others your ways You have to teach others you are not a source of every information and that there are ways to ﬁnd out things without bothering you. Make sure you are clear and explain to others how and when you reply to emails.
RULE 11Don’t email at allYou might feel useful and productive cleaning your inbox and sending out a lot of emails, but it is difﬁcult to call something productive when it does not result in any production at all. Maybe instead of emailing all day, it might be interesting to actually work on something?
