Description

Cloud services help by outsourcing data storage, while still offering data access in an instant. In the cloud, documents are easily available and can be shared simply with others. While many companies are deliberating and weighing up the security aspects, employees are already using unsecure cloud services unnoticed. In order to counter such unwanted behavior, companies can establish a secure cloud solution and set guidelines and policies for its use. Learn more about the requirements for cloud and file-sharing security concepts tailored for enterprises in this white paper.

1. Introduction The popularity of cloud services and file sharing is continuing to increase. Analysts predict growth in the enterprise cloud market from $18.3 billion in 2012 to $31.9 billion in 20171. Familiar providers on the market offer services such as Dropbox, SugarSync or Box.net. The major software or hardware manufacturers, including Google, Amazon and Microsoft, are increasingly following the cloud trend and providing users with storage space in the cloud. Often they offer different versions for private users and for corporate use. This development is partly due to the increasing use of smartphones and tablets. These devices usually only have a limited storage capacity, but are popularly used as a handy PC replacement both privately and professionally. That's why mobile users like to store their data in the cloud and access it conveniently via the internet. All relevant documents can be accessed in just a few clicks and can be shared quickly with friends, relatives or colleagues. Both privately and in companies, the use of cloud services is increasing continuously. Already over half of U.S. companies are using cloud computing2 – and the trend is rising. But many companies are still undecided. The biggest obstacle in the way of the cloud is the significant concern regarding data security. Yet in many companies, some employees are already storing data unnoticed in unsecure cloud services. Therefore, a company-wide standard solution must be introduced in order to prevent such behavior and guarantee security. 1 2 http://cloudtimes.org/2013/02/12/enterprise-cloud-services-to-reach-31-9-billion-in-2017/ http://www.forbes.com/sites/reuvencohen/2013/04/16/the-cloud-hits-the-mainstre am-more-than-half-of-u-s-businesses-now-use-cloud-computing/ Drop the Box | January 2014 | www.cortado.com | www.thinprint.com 3

Not all cloud providers can meet the high requirements of corporations. At first glance, most cloud services appear identical. But it is worth taking a closer look. A comparison of the providers reveals significant differences both in relation to the functions offered, and with regard to security standards. When making such an important decision, companies should always take into account their criteria and own requirements regarding data protection. Read this white paper to find out more about the requirements with regard to security concepts for corporate cloud and file sharing solutions. 2. Requirements with regard to file sharing services and security in organizations The daily work routine of many employees is changing due to the increased use of mobile devices. Many notebooks, tablets or smartphones have already found their way into corporate IT. In the morning, the first e-mails are read while commuting on the train using a smartphone. On the way to a customer meeting, the briefing is read through once more on a tablet. In addition to file access, the exchange of information with colleagues should also be guaranteed. Increasingly - and in part unknown to IT managers - this is done using cloud storage designed for private use. Companies have two ways of handling such a situation: Either they ignore this behavior and allow their employees to continue unchecked, or they support their wishes by introducing a secure solution. In doing so, control remains with the company and security guidelines can be implemented easily. Employees are then offered a company-provided, functional and secure alternative to unsecure cloud solutions. The use of an on-line storage solution can optimize the use of mobile devices - whether private or financed by the employee. The cloud can be used as a storage location for all relevant company files and as a starting point for improved employee collaboration. There are now many cloud services which have not been designed for private users, but specifically for companies, thanks to their extended services. But before deciding on a provider, a considered analysis of requirements should be made. The following points in particular should be noted: Drop the Box | January 2014 | www.cortado.com | www.thinprint.com 4
