better information leads to better busi- ness results Bequester Enterprise (BE) is a cloud based Procurement and Supplier Relationship Man- agement platform built with the vision of achieving better business results through the availability of better information on all of the enterprise’s procurement activities. BE’s suite of platform modules allow Procure- ment and Supply Chain units to manage the procurement workflow, from approvals to sourcing, all the way through to managing contracts with suppliers. a suite of platform mod- ules to manage the pro- curement workflow user management The user management module manages users on the system, both employees and suppliers. Employees with administrative rights are able to create users (employees) on the system and give them suitable rights. workflow management The workflow management module manages the processes that an RFI/RFQ/RFP/RFB (RFx) must fol- low, from creation of a requisition all the way through to contracting. The module allows a system administrator to design a workflow based on the RFx type and budget threshold. On creation of an RFx, the module will track it, based on the relevant workflow, from the first step all the way through to the final step, passing it through all relevant approvals as cre- ated through the workflow designer. The module does not allow a user to move to the next step of the workflow if the relevant approval is not obtained. document management The document management module manages all documents related to an RFx, such as requisition forms, specifications and contracts. The module: Allows users to upload documents related to RFxes; Manages standard documents (such as Stan- dard Bidding Documents), allowing for upload- ing and linking to published RFxes; and Manages documents required from suppliers, such as tax certificates, BBBEE certificates, etc. supplier management The supplier management module is responsible for managing the supplier database, requiring suppliers to be registered on the platform in order to be able to respond to RFxes. The module allows for the invi- tation of suppliers (those already on the organisa- tion’s supplier database) to register on the platform (via the enterprise web) and be able to interact with published RFxes. Through the settings module, the supplier module may require suppliers to upload rele- vant documentation and input relevant document metadata. Metadata such as expiry dates of documents may also be inputted into the system and auto notifies programmed to remind suppliers (and relevant em- ployees) of impending expiry dates.
requests management This procurement module is responsible for manage- ment of all RFIs/RFQs/RFPs/RFBs , from requisitions to specifications to publishing to accepting and ap- pointing to contracting, through the workflow man- agement module. On publishing of an RFx, this module sends emails to a random (or organisation specified) selection of sup- pliers registered in the supplier database, within the relevant category and sub-category, inviting them to bid or respond to the published RFx. All published RFxes are done through the company website, allow- ing even suppliers (registered) that did not receive the invitation emails to bid on the RFx. The supply chain/procurement unit may configure RFx to follow an e-Auction process, where suppliers are able to compete on pricing through a transparent auction. bids management This module allows suppliers to bid or respond to published RFxes. The module is integrated to the en- terprise web site, allowing suppliers to bid through the enterprise web site. In an e-Auction enabled RFx, suppliers are able to compete on price with their counterparts. Through the document management module, bidders to RFxes are required to upload bid documents di- rectly through the system. contracts management This module allows for the capturing of contractual information and uploading of a scanned signed con- tract, including contract review periods. This module also sends notifications, via email to all contractual parties with reminders of due reviews and contract expiration dates. implementing bequester enterprise in your organi- sation Bequester (Pty) Ltd , as the company that developed BE from the ground up, provides an end to end ser- vice of implementing BE within the client organisa- tion.
