One of the biggest challenges I faced when I started my digital marketing agency was managing my time and projects.
There was so much information about different productivity systems and tools it just left me confused.
I kept looking for the perfect productivity combination … (and wasted a lot of time trying out tools, using the wrong tools, and just generally being confused and unproductive)
There is no perfect productivity combination
After a year of trying different systems and tools, I found a simple system that works for me
I divided the productivity tools into 3 categories and forced myself to pick a couple from each bucket.
Digital Storage Digital Brain My super simple system – divide & conquer Digital ToDo
Digital Storage Tools Digital Storage is the collection of tools that allow you to store files in the cloud for backup and sharing purposes. There are many options to choose from here, so pick the one(s) that you enjoy using the most and that meet your storage requirements. My Picks Dropbox SugarSync Google Drive • Store & share client files • Easy to use & set-up • Selective & advanced sync options • Only paid plan available • Integrates with Gmail • Lots of space and cheap to upgrade
Digital To Do Tools With so many To Do managers available, the choice can seem overwhelming. What I did is I tested each tool for a week to see how I liked using it across devices (MacBook, iPhone, iPad). Ultimately, the one with the best app won. My Picks Todoist WorkFlowy • Love the minimal design • Can scale from simple to sophisticated usage • GTD-friendly • Virtual brainstorming app • I use WorkFlowy to plan my monthly and yearly goals , and bullet point my vision
Digital Brain Tools Juggling clients and passwords and hex codes can be challenging. Enter the “brain” tools as I call them. I use Evernote to handle all my work-related stuff and Springpad for personal stuff (books to read, movies to watch, …). My Picks Evernote Springpad • I use a notebook per client and lots of tags to be able to quickly find stuff • Notes and notebooks can be shared for collaborative work • I love the different types of notes available and the color and friendly interface
Bonus Tools A couple more tools that are not pure productivity tools, but that I find useful for saving time. My Picks Pocket IFTTT (IF This Than That) • Save articles to Pocket for reading later – on the go, or when you have a bit of downtime! • IFTTT allows you to automate certain tasks like saving twitter favorites to evernote, or instagram photos to dropbox for example. Try it!
